The challenge

What was getting
in the way

Booking a short meeting often takes a long email thread. One person offers a time, the other has a clash, and the exchange drags on while both keep checking their calendars.

It gets harder for teams. Sales leads need to reach the right rep, panel interviews need every interviewer free at once, and anyone with more than one calendar can easily get booked twice.

  • Slow back-and-forth

Each round of email gives the other person more time to lose interest or book elsewhere.

  • Double bookings

A calendar that isn't checked when a time is offered can lead to clashes and awkward reschedules.

  • Forgotten meetings

Without confirmations and reminders, guests can lose the details or miss the call altogether.

The solution

What
we built

  1. 01

    Booking pages and links

We built booking pages that show only a person's open times, in the guest's own time zone. The guest picks a slot and gets an invite with the video link.

  2. 02

    Calendar sync and availability

Two-way sync checks connected calendars before a time is offered. Working hours, buffers and daily limits decide what can be booked.

  3. 03

    Reminders, notes and payments

Confirmations and reminders go out automatically. An AI notetaker summarises Caletus video calls, and clients can pay by card when they book.

Key features

What made it
useful

  • Teams

    Round robin scheduling

Each new booking goes to the next teammate in line, and weighting lets a team adjust how meetings are shared.

    Business impact

    Weighted sharing

  • AI

    AI notetaker

Hosts turn it on in a Caletus video call and get a summary, decisions and action items afterwards.

    Summaries and action items

  • Mobile

    Phone app

The app shows today's meetings, shares a booking link, joins a call in one tap and sends an alert when someone books, moves or cancels.

Before and after

How the work
changed

Booking

Before

Email threads

Both sides trade possible times until one finally fits.

After

One booking link

The guest sees the open times and picks one.

Calendars

Before

Manual checks

People look through each calendar by hand before replying.

After

Two-way sync

Connected calendars are checked before a slot appears.

Team meetings

Before

Manual hand-offs

Someone has to decide who takes each meeting and hunt for a panel time.

After

Round robin and collective

New bookings go to the next teammate, and multi-host meetings show only times when every host is free.

Results

The business
difference

  1. Scheduling

    One booking link

    Bookings without the email chain

A guest opens one link, picks a free time and receives a calendar invite with the video link.

    Before: Email threadsAfter: Self-booking

  2. Calendars

    Google, Outlook, iCloud

Busy times stay off the page

Two-way sync reads Google, Outlook and iCloud calendars, so times when a host is busy are not offered.

    Before: Manual checksAfter: Two-way sync

  3. Platforms

    iOS and Android

    Scheduling on web and phone

Setup and team admin live in the web app. The phone apps cover the day's meetings, and a change in one shows up in the other.

    Before: Inbox checksAfter: Phone alerts

Trust and control

How we kept it
safe and reliable

  • 01

    Availability rules

Guests see only the times a host has left open, with buffers, minimum notice and daily limits applied.

    Host control
  • 02

    Team roles

Business workspaces use Owner, Admin, Finance and Member roles to separate who can do what.

    Role-based
  • 03

    App permissions

The mobile app asks for three permissions, and two of them are optional. Notifications cover bookings and changes, not marketing.

    Optional access
  • 04

    Single-use links

A host can send a link meant for one booking instead of sharing a regular booking page.

    One-off booking

Faster delivery

Built on tested foundations

These four modules sit behind every booking, however the meeting is set up.

  • Booking engine

Turns availability rules and calendar data into the open times a guest sees.

  • Calendar connections

Link Google, Outlook and iCloud calendars for two-way sync.

  • Meeting links

Add a Caletus, Zoom, Google Meet, Webex or Whereby link to each booking.

  • Automation layer

Sends confirmations and reminders, and updates Slack, HubSpot and webhooks when a meeting changes.

answers

Ask us on a call

Caletus lets people book meetings through a single link. The guest sees only the host's free times, in their own time zone, and picks one. Caletus then adds a video link to both calendars, sends the confirmation and reminders, and can write AI notes after a Caletus video call.
